Official Registration Confirmation Invitation Letter

An Official Registration Confirmation and Invitation document is available to anyone who registers for the conference, and whose registration payment has been received. This is a PDF file on conference letterhead, electronically signed by the conference chair and conference organizer. This is in addition to official acceptance/invitation letters that were previously made available through the symposium website as explained in the paper acceptance emails.

Registration Terms & Policies

General

  1. All registration fees include Lunch and Coffee Breaks, in the morning and in the afternoon, from Monday through Friday.
  2. The registration fee includes one copy of the conference proceedings in electronic format (to be delivered online).
  3. The Regular Registration does not include Short Courses.
  4. The Regular Registration does not include the Conference Banquet. (The Conference Banquet is offered at a special discounted rate to encourage broad participation)
  5. You must be an IEEE Member, AP-S Member, or URSI Member (i.e., Member of a USNC-URSI Commission — Full, Associate, or Early Career Member) at the time of registration to receive the related discounted registration rate. For details on joining IEEE, please visit ieee.org/join.
  6. In order to attend the Reviewers' Luncheon, attendees must be listed on the journals' reviewers list.
  7. Both Half-Day and Full-Day Short Courses include lunch.
  8. One registration covers up to two (2) papers. The Registrant who covers the fee for a paper must be the author or co-author of the registered paper.
  9. Every accepted paper must be linked to a registered person by Wednesday, 29 May 2024. Any paper not linked to a registered person by this date will be withdrawn from the technical program and proceedings.
  10. Short Courses, Workshops, and Tutorials have a minimum attendance of 10 persons. In the event of a cancellation, a refund will be provided.

Every individual attending the event must register separately. There will be a USD 50 fee assessed for chargebacks issued on valid credit card charges. Registration payments must be received by by Wednesday, June 5, 2024 in order to receive the advance registration rate. After that date, the higher registration rates will apply. Refund policy: A USD 50 processing fee will be forfeited for any registration that is cancelled on or before by Wednesday, June 5, 2024 . No refunds will be issued after by Wednesday, June 5, 2024 . The cancellation deadline applies to registrants with any reason for cancelling the registration, including visa issues. Registrants who require a visa may choose to wait to register later or onsite in case the visa is not obtained before the cancellation deadline. If required, a letter confirming that a paper was accepted may be obtained to support your visa application. See the visa and support letter information posted at https://2024.apsursi.org/visa.php.

Currency & Payment

  • All registration fees are quoted in United States Dollars (USD). 22% Italian VAT is included.
  • Payment in any other currency will not be accepted.
  • For issuance of invoices with an address within the European Union, the respective VAT registry number must be provided. The invoicing address and VAT number can be set up during the registration process. Any modification on VAT number, address or financial documentation, requested after the issuing of the invoice or receipt, will result in an administrative fee of USD 50.
  • A confirmation email will be sent to you upon completion of your registration. For your registration to be valid and completed, the outstanding amount mentioned should be zero.
  • You are advised to have this confirmation, in your easily accessible records, should there be a need to present it at the registration desk at the conference venue.
  • A fixed price of USD 40 will be charged for the replacement of lost badges during conference dates.

Refund Policy

All registration fees covering a paper are non-refundable. For registration fees not covering a paper, a full refund, after a USD 50 processing fee, will be given, provided the request is received prior to the last day of the Advance registration deadline.

Non-Presented Paper (No Show) Policy

The enforces a "no show" policy. Any accepted paper included in the final program is expected to have at least one author or qualified proxy attend and present the paper at the conference. Authors of the accepted papers included in the final program who do not attend and present at the conference will be added to a "No Show List," compiled by the Society. The "no show" papers will not be published by IEEE on IEEE Xplore® or other public access forums, but these papers will be distributed as part of the on-site electronic proceedings and the copyright of these papers will belong to the IEEE.

Exceptions to this policy will be made by the Technical Program Co-chairs of the conference only if there is evidence that the no show occurred because of unanticipated events beyond the control of the authors, and every option available to the authors to present the paper was exhausted. The no show authors may appeal the decision of the Technical Program Co-chairs.

Payment Details

  • You may pay your registration fee by credit card, wire/bank transfer, or check.
  • Payment by cash will be only accepted on-site (during conference dates).
  • Registration payments must be completed before the end of the selected registration deadline; if the payment is not submitted by the deadline for the fee applicable, the outstanding amount will be changed to the one that corresponds to the next registration period.
